This Privacy Policy explains how we collect, use, disclose, and protect information when you use our website and mobile application (together, the "App") and related services (together, the "Service"). The App is a school management platform that schools use to administer academics, attendance, exams, fees, and communication, and that parents, students, and staff use to view or manage records related to a school they are affiliated with.

By using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use the App.

1. Who This Policy Applies To

The App is used by several types of account holders on behalf of, or in relation to, a school:

School staff (administrators, clerks, accountants, teachers) — manage records for the school they belong to.
Parents/guardians — get read-only access to their own children's records.
Students — whose academic, attendance, and fee records are maintained by their school within the App.

Each school's data is kept logically separated from other schools using the App. Staff and parent accounts can only access data belonging to their own school, and parents can only access records belonging to their own children.

2. Information We Collect

2.1 Account information

Name, email address, phone number, username, and password (stored in hashed form, never in plain text).
Role and school affiliation (e.g. admin, teacher, parent).
Login activity, including device/browser information, IP address, and session timestamps, used to secure your account and let you view and manage your active sessions.

2.2 Student and academic records

Entered by a school's staff in the course of running the school:

Student profile details (name, date of birth, gender, admission/roll number, class and section, contact details, and similar admission information).
Parent/guardian names and contact details, and family relationship information (e.g. siblings).
Attendance records for students and staff.
Exam and marks records.
Fee and payment records (amounts, due dates, payment mode, receipts). We do not collect or store full payment card details within the App.
Timetable information.
Bus/transport route assignments, where applicable.
Documents and photographs uploaded by staff, such as identity documents, admission documents, and profile photos of students and staff.

2.3 Communications

In-app notifications sent to teachers and parents, such as attendance updates, fee reminders, exam results, and school announcements.

2.4 Usage and device information

Log data such as pages/screens visited, actions taken, and timestamps.
Device type, operating system, and app version, collected to diagnose issues and improve the Service.

3. How We Use Information

To provide, operate, and maintain the App's core functionality (admissions, attendance, exams, fees, timetable, communication).
To authenticate users and keep accounts secure, including detecting and responding to suspicious login activity.
To send notifications relevant to a user's role, such as attendance updates, fee reminders, exam results, and school announcements.
To generate receipts, reports, and exports requested by authorized school staff.
To maintain an audit trail of changes made to sensitive records, for accountability and dispute resolution.
To troubleshoot issues, improve reliability, and develop new features.
To comply with legal obligations and enforce our terms of use.

We do not use student, parent, or staff data for advertising, and we do not sell personal information.

4. Who Provides and Controls This Information

Most student, parent, and academic data in the App is entered and controlled by the school (through its authorized staff accounts), not directly by parents or students. If you are a parent or student and need to correct or remove information, please contact your school's administration first, as they are the ones who maintain the underlying records; we act on their instructions with respect to that data.

We do not sell personal information. We share information only in the following circumstances:

Within a school: data is visible to that school's own authorized staff according to their role, and to the parents/guardians of the relevant student.
Service providers: we use trusted third-party providers to help operate the App, such as hosting/infrastructure providers. These providers only receive the information needed to perform their function and are not permitted to use it for their own purposes.
Legal requirements: we may disclose information if required to do so by law, or in the good-faith belief that such action is necessary to comply with a legal obligation, protect the rights or safety of our users, or investigate fraud or security issues.
Business transfers: if we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy or a policy providing at least equivalent protection.

6. Children's Privacy

The App is designed for use by schools, school staff, and parents/guardians. Student records — including those of children under 13 — are entered and managed by a student's school and/or parent/guardian, not self-registered by the child. We rely on the school and, where applicable, the parent/guardian to have the appropriate authority and consent to provide this information under applicable law.

We do not knowingly allow children to create their own accounts or submit personal information directly to the App outside of this school-managed context. If you believe a child has provided us with personal information outside of this context, please contact us so we can take appropriate action.

7. Data Security

Passwords are stored using one-way hashing; refresh tokens used for sessions are stored in hashed form.
Access to student and staff documents/photos requires authentication and is checked against the requester's role and school before any file is served — these are never exposed via a public URL.
Access tokens are short-lived, and sessions can be viewed and terminated by the account holder or an authorized administrator if a device is lost or an account is suspected to be compromised.
Data is logically isolated per school, and every school-scoped request is filtered to that user's own school.
We use industry-standard measures such as encryption in transit (HTTPS) and rate limiting on sensitive endpoints.

No method of transmission or storage is 100% secure, but we work to protect information using commercially reasonable safeguards.

8. Data Retention

Records created through the App (students, fees, marks, attendance, staff accounts, and similar) are retained using a "soft delete" approach — when a record is deleted by a school, it is marked as removed and excluded from normal use rather than immediately erased, so that a school retains an audit trail for compliance and dispute-resolution purposes. Session and login records are retained for a limited period to support account security. If you would like data permanently erased, please contact your school or us directly, and we will act in accordance with applicable law and the school's retention obligations.

9. Your Rights and Choices

Depending on your location and role, you may have rights to:

Access the personal information we, or your school, hold about you.
Request correction of inaccurate information.
Request deletion of your information, subject to a school's record-keeping obligations.
Withdraw consent for optional communications, where applicable.
View and terminate your own active login sessions from within the App.

Because most student and academic data is controlled by a school rather than by us directly, requests related to that data are generally handled through the school first. You may also contact us using the details in the "Contact Us" section below.

10. App Permissions

The mobile app may request the following device permissions, used only for the stated purpose:

Camera / Photo library	To capture or upload student/staff photos and documents when a staff member adds or updates a record.
Storage / Files	To upload documents (e.g. admission documents) and to save exported reports or receipts.
Notifications	To deliver in-app notifications such as attendance updates and announcements.
Network access	To communicate with our servers to load and sync data.

You can manage or revoke these permissions at any time through your device settings; doing so may limit certain features of the App.

11. Cookies and Similar Technologies

Our website uses a small number of essential cookies, including an HttpOnly cookie used to keep you signed in securely. We do not use cookies for third-party advertising or cross-site tracking. The mobile app may use local device storage for similar purposes, such as keeping you signed in between sessions.

12. Third-Party Services

We use a limited number of third-party services to operate the App, such as cloud hosting/infrastructure providers. These providers process information only as needed to provide their service to us and are bound by confidentiality and data protection obligations. We do not use third-party advertising or analytics SDKs that track users across other apps or websites.

13. International Data Transfers

Information may be processed and stored on servers located in a country other than the one in which you or your school are located. Where this occurs, we take steps to ensure information continues to be protected in accordance with this policy and applicable law.

14. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice (such as an in-app notification). Continued use of the App after changes take effect constitutes acceptance of the updated policy.
